Syncing every email sequence step to Pipedrive

In Instantly Settings > Integrations, enable webhooks for: Lead Replied, Lead Bounced, Sequence Completed. Point these to your Make.com webhook URL.

Webhook receives reply → Check reply sentiment (Interested/Not Interested/Out of Office) → If Interested: search Pipedrive for existing Person → If exists: update Person + create Deal → If not: create Person + create Deal → Notify SDR via Slack.
Create the suppression sync
Daily scenario: Query Pipedrive for all Persons where 'Active Outbound = No' AND (has Open Deal OR is Customer OR 'Do Not Contact = Yes'). Export emails. Upload as suppression list to Instantly.
Build the campaign launch workflow
When adding leads to Instantly campaign: First search Pipedrive. If Person exists and not suppressed → update 'Active Outbound = Yes', log 'Outbound Started' activity. If not exists → create Person with source 'Cold Outbound'.

How do I prevent sending cold emails to existing customers?
Build a daily suppression sync. Export all Pipedrive contacts who are customers, have open deals, or are marked Do Not Contact. Upload this list to Instantly's suppression feature before every campaign. Automate this with Make.com.
What happens if the same person is in Pipedrive and Instantly?
You need a source of truth. When adding to Instantly, set 'Active Outbound = Yes' in Pipedrive. Your Pipedrive automations should check this flag and skip any contacts currently in outbound sequences.
How fast should we respond to positive replies?
Under 2 hours is good. Under 30 minutes is great. Under 5 minutes is elite. Studies show reply rates drop 10x after the first hour. Build your workflow around speed. Slack alerts, mobile notifications, whatever it takes.
How many sending domains do I need?
Minimum 3, ideally 5+ for any serious volume. Each domain should have 2 inboxes. Warm up for 2 weeks before sending. If one domain gets flagged, you can keep campaigns running on others while you recover.
