Syncing every email sequence step to Pipedrive

Instantly.ai account with API access (Growth plan or higher)
Pipedrive account with admin access

Create Pipedrive custom fields
Add: 'Instantly Campaign' (text), 'Active Outbound' (yes/no), 'Last Instantly Sync' (date), 'Email Sequence Status' (dropdown: In Sequence/Replied/Bounced/Completed). These fields track outbound state.
Set up Instantly webhook
In Instantly Settings > Integrations, enable webhooks for: Lead Replied, Lead Bounced, Sequence Completed. Point these to your Make.com webhook URL.
Build the reply processing scenario
Webhook receives reply → Check reply sentiment (Interested/Not Interested/Out of Office) → If Interested: search Pipedrive for existing Person → If exists: update Person + create Deal → If not: create Person + create Deal → Notify SDR via Slack.
Create the suppression sync
Daily scenario: Query Pipedrive for all Persons where 'Active Outbound = No' AND (has Open Deal OR is Customer OR 'Do Not Contact = Yes'). Export emails. Upload as suppression list to Instantly.
Build the campaign launch workflow
When adding leads to Instantly campaign: First search Pipedrive. If Person exists and not suppressed → update 'Active Outbound = Yes', log 'Outbound Started' activity. If not exists → create Person with source 'Cold Outbound'.
Configure SDR assignment logic
Add router in Make.com. Route deals to SDRs based on: territory (country/region from enrichment), company size, or round robin. Set 'Owner' field on creation. Create follow up task with 2 hour deadline.
